One app as the front door, specialist agents behind it — a scheduling-and-billing agent alongside a general-questions agent — with an escalation agent for handoff to staff, and routing configuration wiring it together. Each agent is versioned with publish, changelog, and rollback, so the instructions live on any given day are a matter of record.
The knowledge base is where you ground it in your own material: patient-facing policies, insurance and billing FAQs, appointment-prep guides, or facility information. Documents you upload are the shipped ingestion path: each is chunked with the strategy you pick, embedded into that knowledge base’s own vector collection, and tracked through its own processing status, so a failed document is visible instead of quietly missing. Compliance posture, stated plainly
Botmanor is built for GDPR alignment (data subject access requests, right to erasure, data portability) and CCPA, with controls designed against SOC 2 criteria. A HIPAA Business Associate Agreement is planned for healthcare customers on the Enterprise plan — it is not available today, and we label it as planned rather than implying it is already in place.
The platform layer underneath includes workspace-scoped tenancy with RBAC enforced on every operation, encryption at rest, TLS in transit, and credentials held in managed secret stores and resolved at execution — the foundation a healthcare deployment needs regardless of where the BAA process stands.
Choosing where inference runs
Botmanor orchestrates the LLM providers you configure — conversations and knowledge bases serve your agents rather than training foundation models — and with 11 provider types you choose where inference happens, including Azure OpenAI for enterprise data boundaries or a custom OpenAI-compatible endpoint pointed at a model server you host yourself for content that must not leave your infrastructure.
Governance as managed objects, and an honest escalation path
Policy definitions span seven types — content, tool, data, response, budget, rate-limit, and retention — each reviewable, auditable, and shareable as store packages; runtime enforcement in the live execution path is on the roadmap, a boundary we state rather than gloss over.
On escalation, the honest position matters more than the marketing one: you can configure an escalation agent with the intent patterns and trigger keywords that should reach it, and every conversation lands in a shared team inbox where your staff can read the thread and take over. Automatic detection of a question needing clinical judgement, and automatic assignment to a person mid-conversation, is designed and on the roadmap — it is not shipped, and a healthcare deployment should be planned on that basis.
